1. Data controller

System One Software LLC (trading as Europe Road Desk), located at 1309 Coffeen Avenue STE 1200, Sheridan, Wyoming 82801, United States, is responsible for processing your personal data. Payment processing for EU customers is carried out via Brokolo Systems LTD, established in Larnaca, Cyprus. Contact: info@europeroaddesk.com, +31 6 40837413.

2. What data we process

To fulfil your order we process: your email address, your registration plate and vehicle details, and — where the authority requires it — an upload of your vehicle registration document. Payment details are handled by our payment provider; we do not receive them.

We also store the proof of execution (confirmation, screenshot or PDF) with your order, and keep limited technical data (such as error logs) to run and secure the service.

3. Purpose and legal basis

We process your data to perform the agreement with you (applying for or buying the product on your plate) and to keep you informed of the status — legal basis: performance of the contract.

We also process limited data based on our legitimate interest in securing the service, preventing abuse and fraud, and improving our service. For analytics or marketing cookies we ask for your consent in advance.

4. Retention

Uploads of your vehicle registration document are stored encrypted and deleted once the product is delivered, and at the latest within 30 days. Worker logs and proof screenshots that may contain personal data are subject to the same retention policy; access is limited to administrators.

Order data we need for our administration and any statutory retention obligations is kept no longer than necessary.

5. Sharing with third parties

We share your data only as necessary with: the official authority where the product is requested, our payment provider, our email provider and our hosting/database partner. We enter into data processing agreements with processors. Our hosting and database run within the EU (Frankfurt).

We never sell your data and do not use it for purposes unrelated to your order.

6. Transfers outside the EU

Because the data controller is established in the United States, a transfer of data to the US may occur. We put appropriate safeguards in place for this, such as the EU Standard Contractual Clauses. Payment processing runs via our partner in Cyprus (EU).

7. Security

We take appropriate technical and organisational measures to protect your data, including encryption of sensitive uploads, limited administrator access and secure connections (HTTPS).

8. Your rights

You have the right to access, correct and delete your data, to restrict or object to processing, and to data portability. Where you gave consent (for example for cookies), you can withdraw it at any time. Send your request to info@europeroaddesk.com.

If you disagree with how we handle your data, you may lodge a complaint with a data protection authority (in the Netherlands: the Autoriteit Persoonsgegevens).

9. Cookies

We place functional cookies needed for the site to work. We place analytics or marketing cookies only with your consent, which you can manage or withdraw via the cookie notice.
